Step 1: Login to TRACES website(www.tdscpc.gov.in) by entering the “User ID, Password,TAN of the Deductor and the Verification Code”.
Step 2: First check the status of your return 24Q4 for the Financial Year of which you want to generate the Form 16 Part-A. Request for Form 16 Part-A files only be Submitted when Statement Status is either “ Processed with Default” or “Processed without Default”
To check the statement status of your return you have to go through statement status under “Statement /Payment Tab ” and select the Form Type and Financial Year.
Step 3: Click “Form 16” option available under “Download’s” tab
Step 4: Select the Financial Year of which you want to generate Form 16 Part-A and any one download option “Search PAN download” or “Bulk PAN downloads” and click “Go”.
“Search PAN download” option is to download Form 16 Part-A of selected valid PAN’s
“Bulk PAN download” option is to download Form 16 Part-A of all valid PAN’s fo that Financial Year.
Step 5: Details of Authorized Persons to be printed on Form 16 Part-A will appear on the screen, click on “Submit” to proceed further. If any changes needed than click “ Cancel” and go to profile section and update the details.
Step 6: Fill the KYC details by selecting and one of the option.
Digital Signature Supported KYC: This KYC validation can be opt only if Digital Signature is registered in TRACES login. Deductor can register/re-register their Digital Signature in Profile.
Normal KYC Validation: This KYC Validation (without Digital Signature) – can be opt when Signature is not registered in TRACES login.
After providing correct KYC details, an authentication code will be generated, which is valid for same calendar day for same Financial Year, Form Type and Quarter.
Step 7: A unique “Request number” will be generated, On successful submission of the request which can be used to Track the status of the request. Form 16 Part-A can only be downloaded if the status is “Available”, user needs to wait for 24- 48 hrs in case request is in “Submitted” status.
Step 8: Form 16 Part-A files can be download from “Download” >> “Requested Download” tab by using any one of the option “HTTP download” or “Download Manager”.
Step 9: Select type of download depending on number of files.
HTTP Download is useful to download small files.
Download Manager is useful to download large files and where internet bandwidth is slow.
Step 10: Download “Form 16 PDF Converter Utility 1.4 L” to convert Form 16 Part-A into PDF format. Converter Utility can be Downloaded from “Download” >> “Requested Download” tab
Step 10.1: Run the setup of “Form 16 PDF Converter Utility 1.4 L” then browse the downloaded files and click Proceed to Generate Form 16 Part-A in PDF.
2. How to generate Digitally Signed Form 16 from Smart Form 16 Software.
Step 1: Login to stacos.com by entering the “User ID and Password”. New users have to create account by entering the required details.
Step 2: After Successful login click “Digitally Signed Form-16” App from the Dashboard
Step 3: Download “Smart Form 16 Excel” and “Form16 Merging Utility” from the Downloads section.
Step 4: Fill the details required to generate Form 16 as per the heads given in the sheet.
DeductorDetails: Fill the Deductor details, Receipt Numbers and Responsible Person Details in this sheet.
Form 16 Details: Fill the annual salary details of all the employees in this sheet.
80C: Fill the 80C deduction details of all the employees in this sheet.
80C Others: Fill the 80C Others deduction details of all the employees in this sheet.
TDS Details: Fill the TDS deduction details for all the employees in this sheet.
Perquisite: Fill the details of Perquisites for all the employees in this sheet.
Salary Annexure: Fill the details of Salary Annexure for all the employees in this sheet.
Step 5: After filling the details in excel template do right click. A popup will come. Do the necessary setting and Click “ Generate Form 16” to generate Form 16 pdf.
Step 6. All your Form 16 will generate in Folder “C:\Skorydov\SmartForm16\Excel_Output”
Step 7: Install the Form16 Merging Utility in your system to merge TRACES Part-A with Part-B and Digital Sign Form 16.
Step 8: Run the Form16 Merging Utility and select the respective folders where TRACES Part-A PDF are saved, Form 16 Part-B PDF Saved(generated through Smart Excel Software) and Output folder where you want to save the Digitally Signed Form 16.
Step 9: Click Merge PDFs button to start the process.
